What are some solutions?

I just found out that one of the companies I work for only pays on the original bill of ladings. I faxed in the paperwork on a dual run from Detroit to Kansas City w/ a $25 add on in Indiana.

Now, thru my own fault I lost one of the copies. I'm glad it was only the $25 portion of it. So in other words the person in KC signed 2 forms, they've been faxed & I have 1 original.

I'm not sweating the $25 so much. I'm fortunate it wasn't the other portion. What I am concerned about though is they want me to mail the original. There's also one to Wall, South Dakota in there. If that somehow gets lost I'm out quite a bit of $$ here.

This time I'm going to simply drive it to the office. It's a 45 mile round trip drive. That's kind of inconvenient but I don't want to have taken that whole trip for nothing.

Most of the time they want it mailed w/in 48 hours of taking the run. I won't always be able to drive the BOL to them if I'm out on the road. Yet I don't want to take the chance on if it gets lost in the mail I don't get paid.

What might be some solutions here? I don't want to be fretting getting paid for 2 days or whatever until I know they received the mail.

According to Wiki, 3% of all mail gets lost by the post office. That would sound about right as I frequently get mail for other people who have the same number but live on a different street than me. That would mean I'm not going to get paid on about 3 out of 100 runs.

Any help would be appreciated.

When I go to pick up a load I always request that the shipper give me 3 copies of the bill of lading.One for me, one for the consignee, one for the office.I have the consignee sign off on all 3.I staple my load information sheet with real-time p/u and del. times as well as all the correct info to my copy for my files.I have a copy of the bol and all info for every load hauled since 1989.Doing this has saved my heiney quite a few times.

As far as the lost mail is concerned, I never had the problem yet, but I'm sure it is bound to happen.I wonder if overnighting by the Post office, insuring the mail for the value of the load would work?Just a thought.

You're worrying to much Danny. People get hit by lightning, some people win the lottery. Most likely, those things will never happen to the vast majority of us. I use the Postal Service all the time, mailing things from all over the country, including my paperwork from the trips I run. I've never had a problem. Make copies. In the unlikely event that something does get lost in the mail, copies would have to suffice.

Hey Highway Star, dont you run for the same company as I ? We do have trip pack, the last time I checked.Alot cheaper.

Yea, I'm definately fretting. The copies is a good idea, but that's essentially what a fax is. They said only original BOL's. I get other people's mail to often to have faith in the post office. My folks live in a different town & the same thing happens w/ them, though not quite as much as it does me.

I do like the idea of em signing on all 3 though. That's a good start.

I ran out of them and haven't been by the office in a while. But, they aren't cheaper that a couple of stamps.

Send them certified signature required, then a live person has to sign for what you are mailing. Also, the Post Office takes better care of certified mail because they have to account for lost letters. I've been to many post offices on delivery and it's amazing that more does not get lost, but they take special care of the certified:)
